Thesis values the trust of its applicants and is committed to protecting the privacy, security and integrity of your personal data.
This Recruitment Privacy Notice explains how and why we collect and process the personal data of candidates and applicants for roles at Thesis, how long we retain it, who we share it with, and the rights you have. It supplements the broader Thesis Privacy Notice for employees and applies from the moment you apply for a role with us until you either join Thesis or your candidate record is deleted in line with the retention rules below.
Thesis SM ("we", "us" or "our") is part of the Thesis group and is the data controller of your personal data for recruitment purposes. We use HiBob's applicant tracking system, bob Hiring, to manage applications, with HiBob acting as our data processor.
This Notice does not form part of any contract of employment or engagement and does not place any contractual obligations on us or confer any contractual rights on you. Our statement may be updated from time to time. We will provide further information at the point of collection where it is helpful to do so.
What information we collect?
Information you provide directly

Identity and contact details: name, title, gender, date of birth, home address, personal email, personal phone number and a recent photograph (where you choose to provide one).
- Application content: CV/résumé, cover letter, LinkedIn profile and/or website, the role you are applying for, education, work experience, skills, certifications.
- Employment requirements: notice period, availability, salary expectations, location preferences and willingness to relocate.
- Right-to-work and identification documents: citizenship, immigration status, passport data, residency or work permits and copies of identity documents.
- Assessment responses: answers to written tasks, technical exercises, case studies, work samples and any tests we ask you to complete.
- Equal-opportunities information: where you choose to share it, for example ethnicity, disability status, sexual orientation, religion or belief. Providing this is voluntary and your application will not be affected if you decline.
- Reasonable-adjustment information: details of any adjustments you need during the recruitment process.
Information we collect from other sources

Referrals and agencies: information shared by Thesis employees who refer you, by talent agencies, or by headhunters.
- Referees: information from people you nominate and, where applicable, feedback from previous employers.
- Background-check providers: outputs of pre-employment screening.
- Public sources: information you have made publicly available, for example on LinkedIn, GitHub or a personal website.
- Interview and process records: notes, scorecards, ratings and recommendations made by interviewers and hiring managers, plus correspondence between you and Thesis.
Information generated through Bob Hiring
When you interact with the bob Hiring application form or candidate portal, HiBob collects technical and usage data on our behalf, such as IP address, general location, device and browser type, operating system, date and time stamps, and cookies and recorded activity associated with your visit. HiBob uses this to operate, secure and improve bob Hiring; we use it to administer and analyse our recruitment process.
We also generate process metadata about your candidacy, including application status, time stamps for each stage and the source of your application.

To take steps at your request prior to entering into a contract
Receiving and acknowledging your application; reviewing your CV and supporting materials; scheduling and conducting interviews, tests and assessments; communicating with you about the role; making, negotiating and documenting an offer.
Our legitimate interests

Running an efficient, fair and consistent recruitment process across the Thesis group.
- Considering you for other suitable roles within the group, where you have consented to extended retention.
- Verifying information you provide (including via background checks) where proportionate to the role.
- Keeping records to defend ourselves against legal claims.
- Securing and improving our recruitment systems, including bob Hiring, and protecting against fraud.
- Internal reporting on diversity, hiring funnel and recruitment performance, on an aggregated or anonymised basis where possible.
Compliance with legal obligations
Confirming your right to work; meeting employment, tax, immigration, equal-opportunities and other regulatory obligations; responding to lawful requests from regulators, courts or law-enforcement bodies.
Special-category and criminal-offence data
We process special-category personal data (e.g. health, ethnicity, religion or belief, sexual orientation, trade-union membership) only where a specific lawful condition applies, typically:
- Compliance with employment, social-security and social-protection law.
- Establishment, exercise or defence of legal claims.
- Substantial public interest, where authorised by applicable law.
- Your explicit consent, which you can withdraw at any time.
Equal-opportunities data is collected on an anonymised basis where feasible, and providing it is entirely voluntary.
Information about criminal convictions and offences will only be processed where allowed by applicable law. Where a role requires a criminal-record check we will normally only carry it out after a conditional offer has been made; the offer will be conditional on satisfactory results.
Consent
Where we rely on your consent, we make this clear at the point of collection. You can withdraw consent at any time by contacting privacy@thesiscloud.com or your recruiter; this will not affect the lawfulness of any processing carried out before withdrawal.
Automated decision-making
Thesis does not make hiring decisions using solely automated means. Tools such as bob Hiring, scoring rubrics or assessment platforms may help us organise, rank or shortlist applications, but a human always reviews and makes the final hiring decision.
Background checks
Where the role and applicable law allow, we may carry out pre-employment screening through a third-party provider. Checks may include identity, right-to-work, employment history, education, professional qualifications, financial-sanctions screening and, where relevant and lawful, criminal-record checks. Background checks are usually carried out after a conditional offer has been made and are limited to what is necessary and proportionate for the role.
Cookies & tracking in the candidate portal
The bob Hiring candidate portal uses cookies, pixels and similar tracking technologies to ensure the portal works properly and to analyse and improve its performance. Some of these technologies recall personal data (such as IP address) previously associated with your device. For more detail, see HiBob's Cookie Policy referenced in the bob Hiring privacy notice.
Who we share your data with?
We share your personal data only with parties that have a clear need to receive it:
- Thesis People & Culture team, hiring managers and interviewers involved in the role you have applied for.
- Other Thesis group entities, where you are being considered for roles across the group.
- HiBob, as the provider of bob Hiring, processing your data on our behalf.
- Other recruitment service providers, including agencies and headhunters, assessment and testing platforms, scheduling tools, video-interview providers, reference-check providers and background-check providers.
- Professional advisers, such as legal, audit, tax and HR advisers.
- Government authorities, regulators, courts and law-enforcement bodies, where required by law or to protect our legal interests.
- Acquirers and their advisers, in the context of an actual or prospective sale, merger, reorganisation or restructuring of part or all of the Thesis group.
Where your application has been submitted by a third party (such as an agency), we may give that third party limited access to your details and overall application status to provide feedback on submissions.
We do not sell your personal data, and we do not share it for third-party direct-marketing purposes.
International transfers
Your personal data may be accessed, transferred or stored in the UK, the EU/EEA, the United States and other countries where Thesis group entities or our service providers (including HiBob and its sub-processors) operate.
Where we transfer personal data from the UK, EEA or Switzerland to a country not recognised as providing an adequate level of protection, we put appropriate safeguards in place, typically the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, or another lawful transfer mechanism. You can request a copy of the relevant safeguards by contacting privacy@thesiscloud.com.
How long we keep your data?
- Unsuccessful applicants: typically up to 12 months from the date you are informed of the hiring decision or the closure of the role. Where local law requires a shorter or longer period, we follow the law.
- Successful applicants: where you join Thesis, the relevant parts of your candidate record are transferred into your employee record and retained in line with the Thesis staff privacy notice.
- Talent pool: with your separate consent, we may keep your details for a longer period (for example, up to 24 months) so we can contact you about other suitable roles.
- Background checks: retained for the minimum period required to evidence the check.
- System logs and Usage Data within bob Hiring: retained by HiBob for the periods set out in HiBob's policies and our agreement with them.

Your rights
Subject to applicable law, you have the right to:
- Access the personal data we hold about you and receive a copy.
- Have inaccurate or incomplete data corrected.
- Have your data erased in certain circumstances.
- Restrict or object to certain processing, including processing based on our legitimate interests.
- Receive certain data in a machine-readable format and have it transmitted to another controller (data portability).
- Withdraw any consent at any time, without affecting the lawfulness of processing before withdrawal.
- Lodge a complaint with the data-protection authority in the country where you live, work or believe a breach has occurred. In the UK this is the Information Commissioner's Office (ico.org.uk).
These rights may be limited, for example, where complying would reveal personal data about another person or conflict with a legal obligation. We will explain any exemptions we rely on when responding to your request.

If you do not provide personal data we need for legal or contractual reasons (for example, right-to-work documentation), we may not be able to take your application forward.
Communications
During your application, we (or HiBob on our behalf) may send you notifications and updates by email, for example, status updates, interview invitations, requests for information or requests for consent to extended retention. You cannot opt out of communications integral to your application, but you can withdraw your application at any time by contacting your recruiter.
Data Security
We use industry-standard technical, physical and procedural measures to protect your personal data, including encryption in transit and at rest where appropriate, access controls, audit logging and supplier-security assessments. HiBob applies its own information-security programme to bob Hiring (see hibob.com/security). No system is ever completely secure, but we work hard to safeguard your information.
